Job description -

Position Title : Sales Coordinator

Department : Sales

Reports To : Sales Manager/Regional Sales Manager

Location : Mumbai/Pune

- The Sales Coordinator for the Freight Forwarding Industry plays a pivotal role in supporting the sales team by coordinating sales activities, managing client inquiries, and ensuring smooth communication between internal departments and external clients. This position requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.

Key Responsibilities :

1. Sales Support :

- Assist the sales team with administrative tasks, including preparing sales documents, quotations, and proposals.

- Coordinate with various internal departments to ensure timely responses to client inquiries and requests.

- Follow up on sales leads and inquiries to facilitate the sales process.

2. Customer Communication :


- Serve as the primary point of contact for client inquiries and requests.

- Communicate with clients via phone, email, and in-person meetings to provide information about services, pricing, and shipping options.

- Address client concerns and escalate issues to the appropriate personnel for resolution.

3. Order Processing :

- Process sales orders accurately and efficiently, ensuring all necessary documentation is complete and compliant with regulations.

- Coordinate with the operations team to schedule shipments, arrange transportation, and track cargo movements.

- Provide customers with updates on the status of their shipments and resolve any issues that may arise during transit.

4. Data Management :

- Maintain accurate and up-to-date records of sales activities, customer interactions, and order status in the CRM system.

- Generate reports on sales performance, customer trends, and market analysis as needed.

- Analyze data to identify opportunities for sales growth and process improvement.

5. Documentation and Compliance :

- Ensure all sales documentation, including contracts, invoices, and shipping documents, are completed accurately and in compliance with regulatory requirements.

- Stay informed about industry regulations, import/export laws, and customs procedures to ensure compliance in all sales transactions.

6. Team Collaboration :

- Collaborate with the sales team, operations staff, and other internal departments to ensure seamless communication and coordination of activities.

- Participate in sales meetings and contribute ideas for improving sales processes and customer service.

Qualifications :

- Education : Bachelors degree in Business Administration, Logistics, Supply Chain Management, or a related field.

- Experience : Previous experience in sales support, customer service, or administrative roles, preferably in the freight forwarding or logistics industry.

Skills :

- Excellent communication and interpersonal skills.


- Strong organizational and multitasking abilities.

- Proficiency in MS Office (Word, Excel, Outlook) and CRM software.

- Attention to detail and accuracy in data entry and documentation.

- Ability to work effectively under pressure and meet deadlines.

Language : Proficiency in Marathi, Hindi & English
