Receptionist/Front Office Professional (5-7 yrs)
Roles and Responsibilities - Greeting Visitors: Greet visitors and clients with a positive and professional demeanour, offering assistance as needed. Notify appropriate personnel of their arrival.
- Answering and Directing Calls : Answer incoming calls promptly, direct them to the appropriate department or staff member, and take accurate messages when necessary.
- Travelling and Ticketing : Coordinate and book travel arrangements (flight, train, and hotel accommodations) for employees as required. Ensure travel arrangements are within company policies and budget.
Provide travel itineraries and relevant details to the employees in a timely manner.
- Managing Appointments and Scheduling : Schedule appointments, meetings, and conference rooms. Maintain and update calendars as required.
- Maintaining Reception Area : Ensure the reception area is tidy, organized, and well-stocked with necessary materials, such as brochures, forms, and office supplies.
- Administrative Support : Assist with various administrative tasks, including filing, data entry, and preparing correspondence. Help with mail distribution, sorting, and deliveries.
- Handling Inquiries- : Provide general information about the company's services and policies to visitors and callers.
- Coordination with Other Departments : Collaborate with other departments to ensure smooth office operations and support as needed (e.g., coordinating with HR for new hire onboarding, with IT for equipment requests).
