Here are key responsibilities for this role :

- Greeting and Welcoming Visitors : Provide a positive first impression by greeting visitors warmly, assisting them with inquiries, and directing them to the appropriate person or department.

- Handling Phone Calls : Answer and route incoming calls professionally, manage multi-line phones, and take accurate messages when needed.

- Managing Appointments and Scheduling : Coordinate meetings, appointments, and schedules for management or other departments, ensuring they are timely and accurate.

- Maintaining Visitor Logs and Records : Keep records of visitors, update logs, and manage visitor badges or passes for security purposes.

- Providing Information and Assistance : Address inquiries and provide information about the organization's services or operations to visitors and clients.

- Office Administration : Handle day-to-day administrative tasks like receiving mail, filing, document management, and supply management to ensure smooth front-office operations.

- Data Entry and Documentation : Assist with data entry, documentation, and maintaining digital or physical records as needed.

- Coordinating with Other Departments : Collaborate with HR, facilities, or other departments for onboarding new employees, arranging office supplies, and managing event logistics.

- Handling Courier and Mail Services : Manage incoming and outgoing mail, including courier services, ensuring timely distribution to the right departments or individuals.

- Ensuring Cleanliness and Orderliness : Maintain the front office area in a clean, organized, and welcoming state to reflect a professional environment.

- Managing Security Protocols : Follow security protocols, verify visitor identification, and manage access to ensure workplace safety.

- Assisting in Event Coordination : Help organize and coordinate events, meetings, or conferences held at the office, handling logistics like room setup and catering arrangements.

- Customer Service and Conflict Resolution : Address minor customer or visitor complaints, escalate issues when necessary, and ensure a pleasant experience for all.
